Customer Service Representative 50-70% (Monday to Friday)

Key Responsibilities
- Act as first point of contact for doctors, clinics, patients, and representative across phone, e-mail and other channels
- Provide accurate information on services, testing procedures and order status
- Follow up to ensure inquiries and concerns are resolved promptly
- Escalate complex issue to the appropriate department when necessary
- Process customer requests, documentation, and maintain accurate records in HubSpot
- Coordinate courier pickups, shipping labels, and assist with delivery-related inquiries
- Support scheduling, coordination, and general office administration
- Generate Invoices and send payment reminders for outstanding balances
- Maintain accurate records of invoices and payments
- Coordinate with the finance department on billing inquiries
- Collaborate closely with laboratory, logistics and finance department to ensure smooth operations
- Contribute to continuous process and service improvements
Requirements and Qualifications
- Proven experience in customer service, administration, or a client-facing role — you know how to make people feel taken care of
- Excellent verbal and written communication skills in English and German; additional languages are a genuine asset in our international environment
- Professional, empathetic, and discreet across all channels — whether on the phone, by email, or face to face
- Naturally organized with strong time management skills and the ability to handle multiple priorities without losing attention to detail
- Sharp problem-solving instincts — you don't just flag issues, you help resolve them
- Confident working with Microsoft Office Suite; experience with CRM and invoicing systems is a plus
- Comfortable handling confidential and sensitive information responsibly
- Adaptable and at ease in a fast-paced, internationally operating environment
- A collaborative team player who is equally capable of working independently and taking initiative
- A background in healthcare, medical services, or laboratory environments is an advantage, but not a requirement — we value the right attitude and willingness to learn just as highly
