We are seeking a motivated Family Office Administrator to support day-to-day office operations and provide administrative assistance to the Managing Director and the principals of the family office.
Position Summary
The Family Office Administrator provides office administration and administrative support to the Managing Director and the principals, helping ensure the smooth day-to-day running of the family office.
The role supports office administration, executive support activities, and concierge services for the principals and their families. Working with trusted partners and service providers, the Family Office Administrator helps ensure family office activities are handled efficiently, professionally, and discreetly.
The successful candidate is highly organized, service-oriented, and detail-focused, with a strong commitment to accuracy and quality. They are able to respond with an appropriate sense of urgency while taking the necessary care to ensure work is complete, accurate, and professionally presented before it is finalized or distributed.
Key Responsibilities
Support to the Managing Director
Provide day-to-day administrative support to the Managing Director. Coordinate meetings, including agendas, meeting materials, presentations, and follow-up actions. Liaise with trusted partners, banks, trustees, lawyers, tax advisors, and service providers to facilitate requests as directed by the Managing Director.Prepare correspondence, reports, presentations, and other business documentation. Track action items and support the timely completion of administrative priorities.
Support to Principals & Family
Provide concierge services to the principals and their families. Coordinate travel arrangements, accommodations, reservations, transportation, and other lifestyle-related requests. Support family events, charitable initiatives, and special projects. Maintain accurate and confidential family office records.
Office Administration
Support the day-to-day administrative operation of the family office. Supporting the "Accounting & Investment Teams" Data EntryManage office supplies, equipment, vendors, couriers, and facilities-related requests.Maintain organized electronic and physical filing systems. Prepare, proofread, and distribute administrative documentation. Support meeting agendas, minutes, and recurring administrative reporting. Identify opportunities to improve administrative processes and office efficiency.
Qualifications & Experience
3–5 years' experience within a family office, wealth management, financial services, private office, or professional services environment is preferred.Experience supporting senior executives, high-net-worth individuals, or private clients is an asset. Demonstrated ability to manage multiple priorities in a professional environment.Finance industry experience an asset

Strong organizational and time management skills. Exceptional attention to detail and commitment to accuracy and quality.Ability to work with a sense of urgency while maintaining high standards of accuracy. Strong written and verbal communication skills in German and English. Professional, service-oriented, and discreet approach. Strong interpersonal skills. Ability to prioritize multiple tasks and changing demands. Strong proofreading and quality-control skills.Proficiency in Microsoft Office Suite and standard business applications.
